Administrative Assistant

We are looking for an Administrative Assistant to ensure the efficient and smooth day-to-day operation of our office, be responsible for managing CMB’s reception area, and perform a variety of office administrative tasks. Duties of the Administrative Assistant include providing support to CMB’s managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Additionally, the Administrative Assistant will support the Finance and People & Culture teams with project work and scheduling. This person is responsible for first impressions whether through interaction on the phone or in-person visits. They are expected to be pleasant and have good inter-personal skills. This position is located in Boston, MA and reports to the Director of Finance.

Responsibilities and Expectations

Essential Duties

  • Greet visitors and clients; provide assistance as needed
  • Proactively maintain the reception, public spaces, kitchen, wellness and conference rooms
  • Prepare conference rooms for all-company meetings and client visits
  • Manage incoming telephone (multi-line system), mail, fax, and delivery services
  • Provide general employee office support, including but not limited to printing and binding of proposals, reports, and presentation decks
  • Assist with meeting and conference setup
  • Coordinate office systems and vendors, including supply inventory
  • Order catering as needed for visitors and clients
  • Assist Finance team with data entry, filing, and other tasks as needed
  • Assist People & Culture team with candidate and new hire onboarding coordination and scheduling (travel where applicable)
  • Provide backup support for CMBU scheduling and setup
  • Assist with employee, event, and CMB community activities
  • Track and order supplies for wellness, kitchen, restroom, and supply areas

Qualifications

  • 1-3 years’ experience in a professional services administrative/office setting
  • Excellent written and verbal communication
  • Self-starter who thrives in fast-paced environments
  • Friendly and professional demeanor interacting with internal and external clients and visitors
  • Exceptional organizational skills and ability to mulitask
  • Excellent time management skills and ability to prioritize work
  • Strong attention to detail and problem-solving skills
  • Ability to positively and professionally interact with all levels of the organization
  • Proficiency in Microsoft Office Suite
